ZenMaid and BookingKoala are both built for residential cleaning companies, but they solve different problems. ZenMaid is office software for running a maid service: recurring schedules, cleaner dispatch, reminders, checklists, and payroll, priced at $19 to $49 a month plus $4 to $24 per team member. BookingKoala is storefront software: a booking website, customer self-service, gift cards, and referrals, priced flat at $27 to $197 a month regardless of team size. Pick ZenMaid if your pain is running the schedule. Pick BookingKoala if your goal is customers booking and paying without calling you. Prices verified September 8, 2026.

Pricing: who wins at each crew size?
ZenMaid is cheaper for a solo owner, and BookingKoala is cheaper for almost any crew. The reason is the pricing model: ZenMaid adds $4 to $24 a month for every person on your team, while BookingKoala’s price does not move until you pass 5 or 15 providers.
| Team | ZenMaid (realistic plan) | BookingKoala (realistic plan) |
|---|---|---|
| Solo, under 40 cleanings a month | $19/mo (Starter) | $27/mo (Starter) |
| Solo, over 40 cleanings a month | $39/mo (Pro) | $27/mo (Starter) |
| Owner + 2 cleaners | $67/mo (Pro) | $27/mo (Starter) or $57/mo (Growing with SMS and GPS) |
| Owner + 4 cleaners | $95/mo (Pro) | $27/mo (Starter) or $57/mo (Growing) |
| Owner + 8 cleaners | $151/mo (Pro) | $57/mo (Growing) |
Two caveats keep this from being a clean win for BookingKoala. First, BookingKoala Starter has no SMS reminders, and for most cleaning companies text reminders are the feature that cuts no-shows, so Growing at $57 a month is the realistic comparison for a crew. Second, ZenMaid’s SMS costs are separate on every plan, which adds $14 or more a month for a busy crew. Read the full ZenMaid pricing and BookingKoala pricing breakdowns for the details.
Scheduling and running the crew
ZenMaid is the stronger tool for the office side of a maid service. Its pricing page describes calendar, dispatch, and map views on every plan, a Spotfinder feature on Pro for placing new recurring customers into open slots, digital checklists, cleaner GPS tracking, an SOS alert in the cleaner app, payroll calculations, and on Pro Max, cleaner availability and paid-time-off tracking. These are features an owner uses every morning to get three crews out the door.
BookingKoala covers the same ground with a different emphasis. Its scheduling engine is designed to assign bookings automatically as customers make them. It supports individual providers, teams, and pairs, lets providers grab unassigned jobs, and includes checklists with real-time progress on all plans. GPS and clock in and out arrive on Growing. What BookingKoala does not list is payroll or PTO tracking, so if you pay cleaners per job and want the software to total it up, ZenMaid has the edge.
If you dispatch by phone and text today and want software to replace that routine, ZenMaid will feel more natural. If you want the schedule to fill itself from online bookings, BookingKoala is built for that.
Online booking and the customer experience
BookingKoala wins clearly on the customer-facing side. Every BookingKoala plan includes a website builder with unlimited pages and a blog, your own custom domain, fully customizable booking forms where customers pick services and see prices, and a customer dashboard where clients view and manage their appointments, refer friends, and buy gift cards. Growing adds the referral and rating system and gift cards themselves; Premium adds multi-step forms and automated daily discounts for slow days.
ZenMaid’s online booking is an embedded form, available from Pro, that you place on a website you already have. It carries ZenMaid branding unless you upgrade to Pro Max. There is no website builder and no customer portal listed on the pricing page. For a company whose customers are long-term recurring clients acquired by referral, that is fine. For a company trying to convert strangers from Google into booked cleanings, BookingKoala’s storefront is a real advantage.
Reminders, payments, and integrations
Both tools send automated email and SMS reminders and take card payments; the differences are in how they charge for texts and which integrations they list.
- Reminders. ZenMaid includes automated email and SMS templates on all plans (limited on Starter, all templates on Pro Max) but bills SMS separately, starting at $14 for 125 messages. BookingKoala includes email notifications on all plans and SMS notifications from Growing, with more than 100 notification types. BookingKoala’s pricing page does not publish per-message costs, so ask before relying on it.
- Payments. ZenMaid processes online payments through Stripe or Square. BookingKoala charges and refunds cards from inside the account through Stripe and other integrations, supports tips, partial payments, cancellation fees, and automatic invoice reminders. In both cases you pay the processor’s card fees.
- Integrations. ZenMaid lists Mailchimp and Zapier on Pro Max and shows a QuickBooks integration as coming soon. BookingKoala lists Zapier, Stripe, and Google Analytics. Neither is an accounting tool, so plan on exporting to your bookkeeper either way; ZenMaid’s data export is a Pro Max feature.
Spanish-speaking teams
BookingKoala’s Premium plan offers multilingual accounts so each provider can use the app in their own language, which is valuable for the many cleaning crews where the owner works in English and the team in Spanish. That plan is $197 a month, though, and the Starter and Growing plans support one language. ZenMaid’s public pricing page does not mention language options as of September 8, 2026. If this matters to you, confirm with both vendors during your trial before deciding.
Which should you choose?
Choose ZenMaid if:
- You are solo or have one helper and want the cheapest cleaning-specific option ($19 a month).
- Your business runs on recurring clients you already have, and the pain is scheduling, reminders, and payroll.
- You want cleaner-side features like the SOS button, PTO tracking, and per-cleaner payroll.
- You do not have a website and do not want to build one right now.
Choose BookingKoala if:
- You have two or more cleaners and want flat pricing that does not rise as you hire.
- You want customers to book, pay, tip, and reschedule online without calling you.
- You need a website with your own domain and would rather not pay for a separate site builder.
- Gift cards, referral credits, and review requests are part of how you plan to grow.
If you are still unsure, run both 14-day trials in the same two weeks with your real client list. ZenMaid imports your contacts for free, and BookingKoala has an import tool. Whichever your cleaners open without being reminded is the right one.

Frequently asked questions
Is ZenMaid or BookingKoala cheaper for a small cleaning crew?
BookingKoala is usually cheaper once you have two or more cleaners, because it charges a flat $27 or $57 a month for up to 5 or 15 providers. ZenMaid charges $39 a month plus $14 per team member on Pro, so an owner plus three cleaners pays $81 a month. For a solo owner, ZenMaid Starter at $19 a month is cheaper than BookingKoala Starter at $27. Prices as of September 8, 2026.
Which one is better for recurring cleaning clients?
Both handle recurring schedules. ZenMaid is designed around a maid service's recurring calendar, with a Spotfinder tool for placing new recurring clients into open slots and cleaner-focused dispatch and map views. BookingKoala handles recurring bookings through its customer-facing booking form and customer dashboard, where clients can manage their own frequency.
Do ZenMaid and BookingKoala both offer online booking?
Yes, but differently. BookingKoala includes a full booking website, custom domain, and customer dashboard on every plan. ZenMaid offers booking forms you embed on your own website starting on its Pro plan ($39 a month), with ZenMaid branding unless you are on Pro Max.
Which is better for Spanish-speaking cleaning crews?
BookingKoala's Premium plan ($197 a month) offers multilingual accounts so providers can use the system in their own language. ZenMaid's public pricing page does not list a Spanish-language cleaner app as of September 8, 2026. Ask each vendor directly during your trial.
Can I try both before choosing?
Yes. Both offer 14-day free trials with no upfront charge. ZenMaid will import your client list for free, which makes a realistic trial easier. Running both trials in the same two weeks with your real schedule is the fastest way to decide.
